Service Bundles: Scheduling Bundles (Beta)

  • PDF

Article Summary

Summary

FieldRoutes allows users to schedule multi-appointment services, also known as Service Bundles. Topics covered within this guide include Scheduling from the Job Pool, added features of Intelligent Routing, and how to Reschedule, Cancel, and Complete multi-service appointments.

Important Points

  • Service Bundles need to be set up with Admin > Preferences. For more information, view the Service Bundles: Creating Bundle Templates guide.
This feature is in Pilot-only mode.

Scheduling from the Job Pool

A Service Bundles filter has been added to the Job Pool, allowing users to include or exclude existing Service Bundles from their search. To get to the Job Pool go to Scheduling > Job Pool. In the image below Silver Home Bundle is included in both the Service Bundles field and within a column of the same name within the search results.

There is also an Enable multi-row selection check box, which, when selected, allows a user to select multiple services for any one customer so that they can be scheduled together. Once checked, all play button icons will turn into checkboxes, and multiple services can be selected.

Once the first checkbox of a customer is selected, their remaining services will be displayed. Select each appointment to be scheduled as a Service Bundle, then click the Schedule Selected button.

There will now be a pane on the left side of the appointment card that lists all services that were selected to be scheduled together. When selected, information for that service is listed on the card. In the below image, General Pest Control is the selected service, as evidenced by the card details.

Users can toggle between the services in the panel and even remove them (using the x), but remember that once removed, it would require returning to the job pool to either add that service (or another) to the group to be scheduled.

When a service is removed, the Total Duration and Total Production Value will adjust accordingly.

Only the Service Type and Subscription fields are read-only. For all other fields, changes made are updated for the specified service, except for two fields. Entries to the Flexibility and Arrival Time Window fields will be captured and applied to all services in the left panel. For example, if the Arrival time window for General Pest Control is changed to AM, it will also be changed to AM for MOSQmonthly.

Once scheduled, the customer will receive an email appointment reminder. In the sample reminder shown below, there are two appointments included.

The scheduled services will now appear together in a colored block on a technician’s route.

It will span enough time for the appointments based on their set duration while also including additional time that acts as a buffer, blocking other appointments from being scheduled up against one another. It is not possible to schedule another appointment in a time slot where an existing appointment or extra time already exists.

Intelligent Routing

When the system determines that multiple services can be bundled as multi-service appointments, they will be grouped together. A thin bordered box with rounded corners will contain all appointments that match certain criteria, respecting as much as possible things such as preferred technician, date, and time. This view is from Scheduling > Intelligent Routing.

Remember that the system will also not group appointments with too many differing preferences. Although the groupings can always be manipulated, if certain appointments are not grouped as expected, reviewing some of the preferences set at the appointment Service Level may make sense.

When viewing Scheduling > Assigned Planned Routes, a user can now click the details of each Route Plan before scheduling them. Clicking Details will expand and display details of the included stops.

Once assigned to a technician and saved, the same information can be seen when viewing that tech’s route for the day the Route Plan was scheduled.

Fill Routes

Just like with Intelligent Routing, Fill Routes will display a thin bordered box containing all appointments that matching a certain criteria. Hovering over a service will expand the information displayed about it.

Rescheduling a Service Bundle

The images below show that a user can still use the drag-and-drop feature to move a group of appointments from one time/technician to another.

After confirming a reschedule reason from the Reschedule Reason popup, the entire Service Bundle is rescheduled to where it was dragged/dropped.

When rescheduling with drag and drop requires viewing multiple days, a user would need to use the advanced map view. To do so select, Views > Advanced.

Then click on the days to display, and click refresh to return results. Leaving the technician field blank will return all technician's routes for all selected days. Thus making it easy to move appointments from one tech to another.

The March 4th and 5th dates were selected in the example below to show that an appointment can be moved to another date. This view allows users to drag and drop a multi-appointment service from one day or tech to another.

Cancelling a Service Bundle

To cancel all appointments within a bundle, a user will click the blue ellipsis button, and select Cancel All. This will remove the appointments from the technician’s route and return them to the job pool.

Completing Service Bundles

If an admin is completing appointments manually from the scheduler, they need to complete each appointment separately. Select the play button for each and click Completed.

Once each is complete, click the blue ellipses button and then select Mark Done to mark the group of appointments as completed.

Mark Done to complete
If a user does not mark a group of completed appointments as Done, then a completed service email will not be sent to the customer.

When done, a slim green line will be edging the appointments, indicating they are done.

Scheduling Bundled Appointments in FieldRoutes Mobile

Scheduling Bundled appointments works similarly to scheduling regular services. Please see the FieldRoutes Mobile: Scheduling guide for more details.

Rescheduling Bundled Appointments in FieldRoutes Mobile

Rescheduling Bundled appointments works differently. The user will have the option to select which appointment they would like to reschedule.
