Summary
FieldRoutes now integrates directly with the Sentricon reporting site. Sentricon is a Dow-licensed termite baiting system that many companies use. Reporting must be done monthly per Dow guidelines, and our new functionality makes it a breeze.
To enable Sentricon functionality for your database, please get in touch with your Dow representative and FieldRoutes Support.
Important Points
- If a site is missing from the communications report, go ensure that the Service Type of the Appointment was set to Install, and that the subscription is linked to the monitoring service.
Setting Up Sentricon - Users
To provide users with access to the Sentricon Web Services portal, contact Support.
Once your users have been provided access, you can configure their SWS username and password in the Sentricon tab of the user card.
The User must have a custom Access Control Profile in order to have the Can Access Sentrico control turned on.
Setting Up Sentricon - Service Types
Within Admin > Preferences > Service Types, you will need to designate which services will be reported to Dow. On the Service Type setup, there is a section titled Sentricon Service Events where you can choose if the service is an Installation, Monitoring, Warranty, or both Monitoring and Warranty.
You will want to have an Installation service as the initial and at least one other service for Monitoring and/or Warranty.
How to set up a Sentricon Site
After setting up the Sentricon Service Types, create a customer. If the customer does not have an address, you will not be able to connect the site to it. Customers without addresses will not be connected to the site.
Create or pull up your potential Sentricon customer.
Note: In order to properly report to Sentricon, the Customer Card will need to contain the following information:
- First Name
- Last Name
- Address
- Zip Code
- City
Go to the Subscription tab.
You will have two service types that are generally Sentricon-enabled. One will be for your installation, and one will be for your recurring service. You need to set up the recurring service, which will likely be your monitoring service.
Add a new Subscription, go to the Service Type field, and choose your Sentricon service type for Monitoring and Warranty. The price in the Initial Invoice template should be the installation price. The Recurring Invoice template price should reflect the renewal price.
Once completed, click Save.
Connecting to Sentricon
Click Actions at the top right of the Subscription tab and click New Sentricon Site.
This will take you to SWS, which stands for Sentricon Web Services.
Registering a New site on SWS
Fill out the required SWS fields (Product type, Installation, Linear Footage, and Frequencies). If you do not yet have the Linear Footage, fill it in with 399 or 1 as a temporary placeholder. It must be filled out before sending the inspector out into the field.
Some additional areas can be filled out, such as the monitoring frequencies, and the comment section.
Once completed, save changes then close the Site Information overlay with the purple back button (top left) or the black X (top right).
After saving, the Sentricon Site ID will show up, showing that the site is connected.
Note that now the Actions will have a number of new options.
- Sync Equipment
- Sentricon Stations
- Transfer Sentricon
- Disconnect from SWS
You have completed the site setup.
Scheduling the Installation
This is how to schedule an installation appointment for your Sentricon services for the correct installation date and Sentricon anniversary date so it is reported correctly.
In the Customer Card, click Schedule in the bottom left-hand corner.
Click on the route where you want to schedule the installation.
In the Appointment Card, select Installation in the Service Type drop-down and Monitor/Inspect in the subscription drop-down.
The appointment cannot be completed if you do not attach the monitoring subscription.
Click Schedule.
If the site has not been set up for the customer, the appointment cannot be completed. The customer must be attached to a Sentricon site. Completing the Install appointment will set the Install Date and the Sentricon Anniversary date.
How To Find An Unreported Site
Navigate to Reporting > Sentricon > Sentricon UI Pages. Installations and Renewals from PestRoutes show in the Communication report shortly after completion.
Go to Sentricon Reports > Unreported Sites.
This report shows any unreported sites. Run a report. If the report does not come up, there may be no unreported sites to report. Verify the customers in the report, and the
There are several reasons why a customer may be on the unreported list.
- It's a new site that you created, the appointment is scheduled, but the installation is not complete. These sites will leave the unreported list once the installation is complete.
- The customer requested a site but canceled the service before installation. The customer's subscription will need to be deactivated, which will deactivate the site.
- The wrong service type was used when scheduling the appointment. Go to the Customer Card > Appointments tab > the first appointment. Make sure that it's an Install Service Type.
If it's not, select the click to see route, on the appointment in the route, and change it to Sentricon Install and attach it to the monitoring service.
Re-complete the appointment, and check to see if the appointment has been changed to Install.
Reporting to Dow
The Renewal report should be visited periodically, generally on the 1st - 5th of each month. This is the mechanism used to accurately report the previous month's completed Sentricon services to Dow.
- Customers who have been serviced and have a $0 balance should be renewed.
- Renewals, once confirmed, appear in the Communication report for invoicing.
- Verification via the Communication report is optional. Once the installation has been completed or the renewal is confirmed, the site is eligible for invoicing.
Disconnect or Deactivate?
On the Sentricon Subscription, a choice at the bottom of the Actions drop-down menu lists Disconnect from SWS. This menu choice merely severs the connection between PestRoutes and the SWS site; it does not de-activate the account. Only use this option if the Subscription has been attached to the incorrect site, and needs to be disconnected and re-connected to the correct one.
To De-Activate the account, use the De-Activate button under the Account Status indicator. Select the cancellation reason, then select Freeze Subscription.
If a site is disconnected from PestRoutes but not deactivated, it will continue to show in the Sentricon Disconnected Accounts Page. You must re-connect the site to the customer under the Choose Customer column and select the Connect Selected Customers button at the top.
Finally, deactivate the site on SWS and select Save Changes.
