Summary
The Access Controls system provides User access and permissions in the Operations web app and mobile applications. They allow specific actions and features to be enabled or disabled for each user.
Important Points:
- To confirm an Access Control is activated, ensure the checkbox is marked and the name of the Access Control has the main theme color of the interface.
- The Add/Edit User Access Control is needed to assign or edit the Access Controls on system User Cards.
- When an Access Control Profile is used in place of individual Access Control assignments, review the Admin > Preferences > Office Settings > Access Control Profiles to confirm which Access Controls are included in each Profile.
- Office Staff employees have Dashboard and Alert access turned on by default, while Technicians and Sales Reps have them turned off. Both may be manually adjusted.
Customer Access Control Profiles
Custom sets of permissions can be grouped and reused across multiple users.
These custom groupings are called Access Control Profiles. To build these profiles, navigate to:
Admin > Preferences > Office Settings > Access Control Profiles
Select the +Access Control Profiles button. Name the new profile, select the individual Access Controls as desired, and select Save. The new profile will appear in the Custom Profiles dropdown menu on the User Card > Access Controls tab.
Assigning a Profile to a User
Once a User Profile is created in the Access Control Profile preference, it may assign the custom set of Access Controls to a new or existing User.
Navigate to the User Cards at Admin > User. Edit an existing User or add a new User with the +User button, then choose the Access Control tab on the card.
To assign an Access Control Profile, select the desired profile from the dropdown menu at the top. The pre-assigned controls will be selected and grayed out. Selecting Save will assign the controls from the profile to the user. Individual Access Controls cannot be changed when a profile has been assigned.

- Edit Quickbook Features: Use the QuickBooks integration tools and be able to see the QuickBooks Integration menu.

Access Controls: Estimation Tool
- View Estimations: The Users can see estimations in the Property Estimation Tool.
- Add & Update Estimations:The Users can add & update estimations in the Property Estimation Tool.

Access Controls: WIDGETS
Unlike other Access Controls, these controls are exclusive to the Operations Web-app Dashboard. These determine which Widgets are visible.
Active Customers
- Categorizes currently active Customers into:
- Active Recurring Customers
- Potential Customers
- Active NON-Recurring Customers
Active Subscriptions
- Shows the breakdown of recurring Subscriptions by Service Type
Cancellation Reasons
- Shows the reasons why Customers are canceling their recurring Subscriptions
Monthly Services
- Displays all Customers with Services due within the current month, divided into:
- Overdue Subscriptions
- Unscheduled Subscriptions
- Scheduled Subscriptions
- Completed Appointments
Technician Ratings
- View Technician customer ratings over a given period
Collections Percentage
- Shows effective payment collection percentage within a given period
Completion Percentage
- Shows the Completion percentage of all scheduled Appointmentsin a period under three categories:
- Serviced
- Pending
- Not Serviced
Stops Per Route
- Shows the total and average number of Appointments on Routes
AutoPay Percentage
- Shows the percentage of active Customers set up for AutoPay
Receivables Aging
- Shows the total Revenue owed separated by the age of the balance
Payment Types
- Shows the total Revenue collected over a designated period separated by Payment Type
Average Rates
- Shows the average recurring ticket Charge for each Service Type
Average Contract Values
- Shows the average yearly Contract Value for each Service Type
Average Customer Age
- Shows how long Customers have been active
Subscription Sources
- Shows the percentage of Subscriptions generated from each Source
Frozen with Account
- Shows the number of frozen Customers with a valid Method of Payment stored to prevent payment processors from continuing to charge fees on these MOPs
Recurring Billing
- Shows the Revenue generated for Subscriptions set up for Recurring Billing
Debit Balance
- Compares the total balance of active Customers and the Revenue generated within the previous 30 days
Revenue by Service
- Provides a summary of all Revenue generated by each Service Type in a selected period
Revenue by Month
- Provides a summary of monthly Revenue generated compared to the total and average Revenue of a selected period
Recurring Annual Revenue
- Shows the amount of Revenue generated for Recurring Annual services.
Subscribed Meas. SF
- Shows the total service types, subscribed measured square feet, total measured active square feet, inactive measured square feat, and the total inactive measured square feet.
Subscribed Meas. LF
- Shows the completed services and completed measured measurements in square feet.
Subscribed Meas. SF
- Shows the total service types, subscribed measured square feet, total measured active square feet, inactive measured linear feat, and the total inactive measured linear feet.
Completed Meas. SF
- Shows the completed services and completed measured measurements in linear feet.

Access Controls: Area Management
These controls are exclusive to the Area Management tool in the Sales tab of the Web application and the Area Management tool in the Maps Tab in the Mobile App.
- View Assignment Layers:
- PLATFORM: Operations Web-app, FieldRoutes Mobile App
- View where different Sales reps are assigned to regions the Assignment Layers. When disabled, the user will only see the areas they are assigned to.
- Edit Any Assignment Region: Make changes to any assignment Layers, including regions the user did not create or was not assigned to.
- View Reporting Layers: View reporting Layers in the Area Management Tool.
- Edit Own Reporting Regions: Edit own reporting region or reporting regions the user created.
- Edit Other Reporting Regions: Edit other users' reporting regions or ones created by other users.
- View Door Knock System Layer:View theDoor Knock/Pins System Layer.
- View Customer System Layer: Hide/Show Active and Inactive Customer filter and results in the Customer System Layer.
Select Save when finished editing the access controls.
Access Controls: FieldRoutes
Unlike other Access Controls, these controls are exclusive to the FieldRoutes Mobile app.
- View Feedback: Allows the Technician to view feedback in the FieldRoutes Mobile App.
